Automated Draws

Track and reward caregiver engagement with automated weekly or monthly prize draws. Once you set your preferences, Caribou manages everything for you: scheduling draws, awarding tickets, and notifying winners.

 

What this feature does

Automated Draws allow your agency to run recurring prize drawings without any manual setup each week or month.

You can use draws to:

  • Encourage key behaviors like referrals or participating in specific activities
  • Boost retention with exciting recurring reward opportunities
  • Add variety to your recognition program beyond individual point rewards
  • Keep engagement high while staying within a predictable budget

How Automated Draws Work

1. Getting Started

When setting up recurring draws, you’ll:

  • Choose your draw frequency: Weekly or Monthly
  • Configure up to 3 prize tiers (each with its own point value and number of winners)
  • Optionally attach a video to your draw
  • Let the system automatically schedule the next 3 upcoming draws

2. Weekly Draws

  • Weekly draws run from your selected day of the week (default Friday → Friday)
  • If you launch with fewer than 3 days left in the week, the first draw extends into the next week (a 10-day draw)
  • The start day you choose during setup is locked in for all future weekly draws

3. Monthly Draws

  • Monthly draws run from the 1st to the last day of the month
  • If you launch with fewer than 5 days left in the month, your first draw extends through the next month (approx. 35 days)
  • The same extension rules apply if you switch from weekly → monthly

4. Prize Structure

  • Create up to 3 prize tiers
  • Each tier includes:
    • A point amount
    • A set number of winners
  • Prizes are awarded in points only

5. Managing Your Draws

  • Only one draw can run at a time
  • Admins with access will be alerted to approve winners once they are selected. A new winner can be redrawn if needed.
  • Winner notifications are sent automatically — no manual work needed
  • At all times, the system keeps 3 upcoming draws scheduled
  • You can edit the following on the Automated Draw settings. Once you save edits, it will update the 3 upcoming draws. The existing Live draw will not change:
    • Frequency (Monthly to Weekly or vice versa)
    • Prize tiers
    • Number of winners
    • Attached video
    • To stop Automated Draws entirely you must contact your Customer Success Manager
  • You can edit any one of those 3 upcoming draws:
    • Prize tiers
    • Number of winners
    • Draw name
    • Attached video
  • You configure how caregivers earn tickets through your Rewards Configuration settings

Important Notes

  • One-off or standalone draws are not supported
  • Once recurring draws start, you cannot change the weekly start day
  • Individual upcoming draws cannot be deleted
  • To completely stop all automated draws, contact your Customer Success Manager

  • Can I run weekly and monthly draws at the same time?
    • No. Only one draw can run at a time.
  • What happens if I launch late in a week or month?
    • If you launch with fewer than 3 days left in the week, the first draw extends into the next week (a 10-day draw)

  • Can I schedule draws to start at a future date?
    • No. Draws start immediately once configured or program is launched.
  • How many draws are scheduled in advance?
    • Three upcoming draws are always pre-scheduled.
  • What can I edit in upcoming draws?
    • Prize amounts, number of winners, attached video, and draw name. Live draws cannot be edited.
  • Can I change my weekly start day later?
    • No. The start day is fixed once recurring draws begin.
  • Can I create a one-time special draw?
    • No. Automated draws only support recurring schedules.
  • How do I stop automated draws?
    • Contact your Customer Success Manager.
  • Can I delete one upcoming draw?
    • No. Deleting individual draws isn’t supported.
  • When do edits take effect?
    • Changes apply after the current live draw ends.
  • How do caregivers earn tickets?
    • You define the earning rules through Rewards Configuration.
  • How do caregivers know they've won?
    • Notifications are sent automatically when each draw ends.
  • Can I redraw a winner?
    • Yes! You can redraw a winner in Caribou.
