How many times can I push the "Send SMS" button?
The Send SMS button is limited to prevent over-messaging caregivers. Each time you click it, the 10 best-matched employees are notified, and the list automatically updates with the next best matches.
You can continue pressing the button until there are no more recommended employees available.
Important: Caregivers may appear in multiple cases, which can cause them to receive multiple SMS messages in a single day. This can lead to messages being ignored. We recommend notifying up to 30 caregivers per case to maintain effectiveness.
Why aren't there more caregivers on the "Send SMS" list?
The system automatically matches caregivers to shifts based on specific criteria. Below are some of the key factors considered:
- Availability
- Distance from the patient location
- Scheduled hours (caregivers not exceeding 40 hours/week)
- Shift preferences, language, and gender
If fewer caregivers appear, it usually means that other caregivers do not currently qualify for that specific shift based on these criteria.
Why am I seeing caregivers outside of my network?
You may see caregivers outside your immediate region or office network if:
- Cross-office matching is enabled. If this isn’t desired, contact Help to modify the settings.
- Coverage is limited, and the system is widening the search to fill the shift.
These caregivers still meet the shift’s minimum requirements.
How do I see caregiver availability and profiles?
Click on a caregiver's name from the matching list to view their profile, which includes:
- Phone number and languages spoken
- Availability (days/times they're available to work)
- Preferences (pets, bedbound patients, Hoyer lift experience, transportation mode, max travel distance, short shifts)
- Hours interested in working per week
- Current schedule and hours already assigned
How does the matching work? How do you pick the recommended employees for a case?
The matching algorithm considers multiple weighted criteria:
- Distance: From home and work locations, using caregiver's preferred transportation mode
- Availability: Schedule conflicts and stated availability preferences
- Experience: Prior work with this patient, tenure for complex cases
- Preferences: Pets, bedbound comfort, Hoyer lift experience, short shifts, patient gender
- Requirements: Language, discipline (HHA/PCA), credentials, office restrictions
- Utilization: Prioritizes caregivers with fewer hours to maximize distribution
- Overtime avoidance: Excludes caregivers over 40 hours/week
