What does "Do Not Staff" mean?
All open shifts are normally broadcasted to caregivers. Selecting Do Not Staff tells the system not to show a shift or broadcast it to caregivers.
You can apply it two ways:
- The whole case — nothing on the case is broadcast. Mark as "Do not staff"
- Specific shifts — only the shifts you pick are held back. The rest keep going out.
Use specific shifts when most of the case should still be filled. For example, the family covers Tuesdays, or one shift is being held for a particular caregiver.
How do I mark specific shifts as Do Not Staff?
- Open the Shift detail page for the case.
- In the top right corner, select Do not staff this client or Do not staff specific shifts
- If you select Do not staff this client, it will not staff any shifts for that client. Submit the reason for not staffing and save.
- If you select Do not staff specific shifts, you will be prompted to deselect shifts you do not want to broadcast. Submit the reason for not staffing the specific shifts and save.
Shift marked as do not staff will not be visible for caregivers in the app and will not be broadcasted by Caribou as open shifts looking for caregivers.
What should I do if I try to assign a caregiver and run into a problem?
If the system is unable to assign a caregiver, it will display a clear error message explaining the reason for the failure.
When this happens, try assigning the caregiver directly in HHAeXchange.
Where does this data come from?
Data is pulled from:
- Caregiver profiles (addresses, availability, credentials from HHAeXchange)
- Client and case records (from HHAeXchange)
- Scheduling and assignment history (synced from HHAeXchange)
- Caregiver preferences (entered in Caribou platform)
All data is updated based on system syncs (within 5 seconds for shifts) and user input.
Why does clicking a caregiver's name open a new screen?
Clicking on a caregiver's name opens a detailed profile view that provides more comprehensive information about that caregiver. This helps you determine if they're the right fit for the patient by showing their:
- Full availability schedule
- Preferences and comfort levels
- Experience and credentials
- Contact information
- Current hours and assignments
How often is shift data synchronized from HHA?
The system syncs open shifts from HHAeXchange within 5 seconds of changes. This means the Open Shifts page is updated in near real-time.
What happens when they mark a visit as missed? Does this get updated in Caribou?
Visit status information, including missed visits, is tracked in HHAeXchange. The Activity Log in Caribou shows whether a visit was completed (Yes/No), which reflects the data from HHAeXchange.
